The bottleneck is the file, not the decision

Whether it is a claim, a credit application or a complaint, the professional judgement rarely takes long — assembling the basis for it does. Documents arrive as PDFs, scans, photos and emails, in varying quality and order. AI orders that material, extracts what is decision-relevant and presents it with a source. Without a citation, an AI answer is worthless in an institution

A plausible-sounding but wrong statement about a sum insured or a deadline costs more than no statement at all. The EU AI Act draws the line between groundwork and decision

Frequently asked questions about AI in banking and insurance

Can a supervised institution use an AI platform at all?
Yes — it is permitted, it simply has to be embedded properly. For institutions under BaFin supervision, procuring an AI platform is generally an outsourcing or other external procurement within the meaning of MaRisk and § 25b KWG. That means a risk analysis, contractual provisions on rights to issue instructions, to information and to audit, plus entry in the outsourcing register. Mindverse supplies the basis for this — a data processing agreement under Art. 28 GDPR, a documented processing location in Germany, and a role and logging concept. The supervisory assessment itself remains with your institution.
How does this fit with DORA?
DORA has applied since 17 January 2025 and tightens the requirements for ICT third-party providers: contractual content, exit strategies, registers of information and traceability of processing. This is precisely where a platform with a fixed processing location and logged access helps more than an AI tool computing somewhere in a global cloud. Does the AI make credit or claims decisions?
No, and that is deliberate. Mindverse Studio prepares decisions: it reviews documents, extracts details, summarises and drafts text. Creditworthiness assessment of natural persons is classified as a high-risk application under the EU AI Act, and a fully automated individual decision would additionally have to be measured against Art. 22 GDPR. In our model a human always makes the decision — the AI supplies the groundwork and the supporting references.
What does AI actually deliver in claims handling?
The biggest lever is wherever unstructured documents have to become structured facts: the claim notification, invoices, expert reports, photos and correspondence. The AI reads the case, extracts the relevant details, checks them against the terms of the policy and flags gaps or contradictions. Your handlers then review a prepared case instead of a stack of PDFs.
Can we load our own policy wordings and work instructions?
Yes. Policy wordings, underwriting guidelines, work instructions and template letters go in as a knowledge base. The AI then answers from exactly those documents and cites the source for every statement — instead of drawing on general internet knowledge. For an institution with its own products, that is the difference between useful and dangerous.
How do you ensure customer data does not leave the EU?
Processing takes place in German data centres. With sovereign models the language model itself also runs on German infrastructure, so no third-country transfer occurs anywhere along the processing path — usually the very first question in an outsourcing review. Details are on our security page.
Is AI use traceable for internal audit?
Yes. Roles and permissions at company, team and user level, audit logs covering access and execution, and event logs for every automated run.
